As an Associate Director you will direct the operational functions of the Global Research Facilities (GRF-Cambridge) Administrative Services Group. You will be responsible to plan, prioritize and coordinate long and intermediate-range operational and administrative activities, ensuring that all departmental and divisional objectives and metrics are met. You will evaluate the productivity, methods and records retention policies with continuous improvement as a goal in all areas. You will manage the capital procurement process and provide tracking for capital projects, ensure compliance with corporate, divisional and site requirements and coordinate annual budget submission process. You will direct the activities for the Records Management & Documentation Group to include the successful development and implementation of a program and ensure compliance of the site with Wyeth Policy 309. You will manage Cafeteria services at the site to provide appropriate and cost effective food services and catering in support of Research at the site. You will provide oversight for the administration of division-wide service contracts to include, but not limited to: copiers/faxes/multi-functional devices, laundry, pest control, interior plants, and maintenance agreements that are not covered by the Maintenance Department as well as manage the surplus equipment inventory. You will represent the Research Site on all site, divisional and corporate purchasing and accounting issues to include, but not limited to procedural review/comment, information gathering and dissemination, problem resolution, and supplier selection as well as interface with Strategic Sourcing and participate on appropriate Division-wide committees. You will coordinate expense budget preparation and tracking, provide analysis and deviation reports as needed and participate on committees formed to address budget issues and coordinate data collection for the section. As needed, you will also coordinate fleet services, meetings and travel arrangements and operations to support corporate and divisional site wide meeting needs.
This position requires a Bachelor's degree in Business Administration/Management or related field (Master's degree would be a plus) and 10 years administration, operations and/or facility support experience, with at least 5 years in management/supervision preferably in a scientific industrial/research organization. Must have excellent organization skills with good oral and written communication skills, as well as short and long term planning experience.
