Department Summary
Campus Planning and Facilities Management (CPFM) is a vibrant department, which comprises five units, and approximately 270 employees: Facilities Services, Utilities & Energy, Campus Planning, Office of Sustainability, and Design & Construction. The units of CPFM strive to provide excellent customer service to the University of Oregon campus and operate with the highest professional standards, communicating and collaborating with customers to support the stewardship of the campus.

This position works with all of CPFMs units and directly with the Executive Assistant to the AVP CPFM.

Position Summary
The Front Desk Office Specialist position is the face of the Campus Planning & Facilities Management department. The successful candidate must possess a professional presence in representation of CPFM. This position is responsible for greeting everyone who visits or calls the CPFM office with a friendly and courteous demeanor. Primary responsibilities include customer service at the front desk, answering CPFM’s front desk phone, distributing parking passes, keeping track of campus vehicles, taking in time sheets, as well as answering and redirecting radio calls. Each day this position is also responsible for the department’s mail distribution. Other responsibilities as directed by the Executive Assistant to the AVP, which may include working with Microsoft Word documents, Excel spreadsheets, Outlook calendars and emails. 

Interactions/contacts occur daily with the Executive Assistant to the AVP and Directors. Will interact with vendors, the general public and the campus community in the course of performing work.

Position works as a member of a team while frequently performing tasks independently. Decisions may be made about the best method and materials necessary to perform a particular task. They may also include assessing customer needs and responding to those needs.

Work is reviewed regularly by the Executive Assistant to the AVP to ensure it is performed efficiently, safely, and meets both expectations and applicable requirements. A performance appraisal is conducted annually.

This position will work typical office hours. Transport of supplies and for running errands to buildings on and off campus by driving university vehicles as appropriate for needs of unit.

This unit may provide essential services during times of emergencies and inclement weather. This position may be required to fulfill essential services and functions during these times.

Minimum Requirements
• Completion of courses or training in Office Technology; OR
• One year of general clerical experience which included typing, word processing, or other generation of documents; OR
• An equivalent combination of training and experience.

Preferred Qualifications
• Communications courses or classes
• Bi-lingual in Spanish
• Experience in higher education
• Experience in a trades environment
